OpenAsset - Digital Asset Management

Challenge: As the business’ development projects grew rapidly and the number of external partners increased, there was a need to create a single resource library for digital assets, specifically photos, videos, and vector assets.
Solution: To support consistent quality at scale, I built and owned a centralised Digital Asset Management system.
First, with the Head of IT, we reviewed DAM services on the market; OpenAsset was chosen, and the budget was approved.
The setup process involved curating, sourcing, scanning, resizing, retouching and editing assets. This was followed by categorising the files, creating a database of projects, defining keywords, naming conventions, tagging, captions and descriptions. Additionally, user categories and bespoke output sizes were defined. Alongside this, a sandbox environment was created for testing.
I partnered with the IT team to integrate the product with Active Directory and core business systems. And worked closely with our in-house photographer to set up a robust workflow. To support onboarding, I produced a user manual and, later, commissioned video user guides.
I regularly provided one-to-one training and onboarding for internal staff and external partners.
Outcome: Over the past decade, OpenAsset has been an integral part of the corporate Information Management systems, forming part of the onboarding process. Used by over 500 internal staff members and more than 100 external agencies and partners.
The library comprises 90,000+ assets and has reduced duplication, allowed quality control, reinforced brand standards and enabled faster, more reliable delivery across all projects. External partners can collaborate on projects and have the autonomy to select assets as they deem appropriate.
